About the Role

Reason Foundation holds dozens of events throughout the country to engage supporters, readers, the media, and public intellectuals. Many of these events are filmed and released as videos and podcasts. 

You will be responsible for managing all logistics related to several national and regional events. This includes location planning and venue selection, project management, guest and speaker communications, catering, AV planning, and on-site event coordination. Your role will be pivotal in ensuring the success of our events and engaging our supporters. 

This is a full-time role with approximately 25% travel. This position reports to the Director of Development and can be in-office in Los Angeles, or Washington D.C., or work virtually from anywhere within the country. 

The person in this role will be responsible for the following events:

Reason Weekend – Reason Foundation’s annual event for our most generous supporters. This four day event takes place in a different location throughout the country each year. We expect 120-150 attendees including donors, speakers, and staff. 

Reason VersusReason’s newest series, Reason Versus pits Reason journalists and policy experts against opposing debaters from other outlets. This is a multi-city series currently slated for four debates in 2025 and may increase in frequency in subsequent years.

Regional Events – Reason Foundation hosts small events such as happy hours and dinners for friends and supporters throughout the country. We anticipate 5-10 regional events in 2025 (this does not include Washington D.C., and New York City events which are managed by local staff).

Key Responsibilities

Event Planning and Execution:

  • Plan, organize, and execute above events
  • Coordinate all logistical aspects, including securing venues, managing catering, and overseeing audiovisual needs
  • Develop run of show and work with editorial staff, development team, and audiovisual contractors to execute
  • Act as primary point of contact at venues for Reason staff, contractors, hotel/ venue staff, speakers, and guests
  • Track event budgets 

Talent Management:

  • Identify and book speakers for events
  • Ensure that contracts are fulfilled
  • Liaise with speakers to coordinate event schedules, travel, and other logistics

Attendee Management:

  • Create and distribute event invitations, manage RSVPs, and track attendance
  • Work with marketing and media teams to create awareness of events as appropriate
  • Maintain and update guest lists for events
  • Communicate event details to attendees

Fundraising Team Member:

  • Collaborate with the fundraising team to organize events that align with fundraising objectives
  • Assist in soliciting event sponsorships and partnership

An average of twice monthly travel is expected.  

Qualifications

  • Passion for and alignment with Reason’s mission of promoting individual liberty and free markets, and rule of law.
  • 3-5 years of proven experience in event management, preferably in a similar role.
  • Exceptional organizational and project management skills.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Flexibility to adapt to changing event needs and schedules.
  • Ability to travel approximately 25% of the time.
